1. Information we collect

We collect only what we need to respond to you and to deliver the services you ask for.

• Information you give us. Name, business email address, mobile or business telephone number, company name, job title, and the content of any message, form submission, or chat you send us.

• Messaging content and metadata. If you exchange SMS or text messages with us, we retain the message content and the associated delivery records.

• Business contact information from third-party sources. In the ordinary course of business-to-business outreach we may obtain professional contact details (name, job title, employer, business email, business telephone) from commercial data providers and publicly available professional sources.

• Technical and usage information. IP address, browser type, device type, referring page, and pages viewed, collected through standard web logs and cookies.
   

2. How we use information

• To respond to enquiries, quote requests, and chat or form submissions.

• To provide, administer, and improve our marketing and advertising services.

• To send service-related and, where you have consented, promotional communications by email, telephone, or text message.

• To maintain security, prevent fraud and abuse, and keep records required by law.

We do not use automated decision-making that produces legal or similarly significant effects, and we do not knowingly collect information from anyone under 16.

3. Text messaging — SMS and MMS

No sale or sharing of mobile data.Your mobile information will not be sold or shared with third parties for promotional or marketing purposes. All of the categories described in this policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. We will not share your opt-in to an SMS campaign with any third party for purposes unrelated to providing you with the services of that campaign.

How you opt in

You may consent to receive text messages from The AIM Agency by ticking the consent box on a form or chat widget on our website, by providing your mobile number to us verbally or in writing and agreeing to be texted, or by texting us first. Consent is not a condition of purchase and is never required to receive a quote or to do business with us.

What we send and how often

Message content includes replies to your enquiry, appointment and meeting coordination, account and service updates, and — where you have consented to promotional messaging — occasional marketing messages. Message frequency varies. Message and data rates may apply. Carriers are not liable for delayed or undelivered messages.

How to stop

Reply STOP to any message to opt out at any time. You will receive a single confirmation and no further messages. Reply HELP for assistance, or email privacy@theaimagency.com. You may also ask us to stop by any other reasonable means, and we will honour it.

4. When we disclose information

We do not sell personal information, and we do not share it for cross-context behavioural advertising. We disclose information only in these circumstances:

• Service providers. Vendors who host our website, operate our CRM and messaging platform, deliver email, and provide analytics — each acting on our instructions under contract, and only to the extent needed to perform the service.

• Legal and safety. Where required by law, subpoena, or regulation, or to establish, exercise, or defend legal claims.

• Business transfer. In connection with a merger, acquisition, or sale of assets, subject to the protections in this policy.

The exclusion in Section 3 applies to every category above: SMS opt-in data and consent are not disclosed to any third party for marketing or promotional purposes.

5. Data security

We maintain administrative, technical, and physical safeguards appropriate to the sensitivity of the information we hold, including transport encryption (HTTPS), access controls limiting personal data to personnel who need it, and vendor agreements requiring comparable protection. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

6. Data retention

We keep personal information for as long as needed for the purposes described here, and then for the period required to meet legal, tax, and recordkeeping obligations. Messaging consent records are retained for the duration of the relationship and for a reasonable period afterwards as proof of consent.

7. Your rights and choices

Depending on where you live, you may have the right to request access to the personal information we hold about you, to request correction or deletion, to opt out of sale or sharing (we do neither), and to be free from discrimination for exercising these rights. California residents have these rights under the CCPA/CPRA. Residents of the EEA and UK have equivalent rights under the GDPR, including the right to object to processing and to lodge a complaint with a supervisory authority.
